Job Overview

The Document Specialist is primarily responsible for preparing documents from multiple sources for processing by scanning and electronic classification. The position requires skill in organizing, attention to detail, efficiency, and effective time management. This position is onsite and based out of our American Fork, Utah office. The scheduled hours are M-F 7:30 - 4:30 MST.

Responsibilities

  • Effectively and efficiently prepare hard copy documents for scanning by sorting to the correct batch type based on content, page count and other system requirements.
  • Effectively and efficiently process electronic documents received via fax, email attachment, and text attachment.
  • Complete a weekly review of errors.
  • Correctly assign electronic documents to client matters in the CRM system.
  • Review assigning errors and complete all review requirements.
  • Remain logged into the phone system throughout the assigned shift and correctly record logged out time as directed by the team leader.
  • Greet and assist callers by correctly transferring calls to the team member or group that is currently assigned to the client’s matter in the CRM system.
  • Follow all procedures while assisting with calls that require supervisor attention.
  • Complete phone reviews as directed by the phone supervisor.
  • Complete other assigned tasks that may include:
    1. Scanning documents.
    2. Preparing letters to be mailed to SSA or clients.
    3. Completing central printing tasks.
    4. Picking up mail from post office.
    5. Other tasks as assigned by team leader or department manager.
  • Actively engage in continued training.
  • Respond quickly and effectively to changes in processing procedure.
  • Maintain high standards of accuracy in all tasks.
  • Follow policies contained in the Employee Handbook.
  • Complete other tasks as requested by team leader or department management.
  • Attendance: Full-time position that requires regular, reliable, and punctual attendance.

Qualifications

  • Authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future.
  • Must be familiar and competent with standard office equipment including personal computer, printer, scanner, letter opener and word processing, spreadsheet, and database software.
  • Ability to work independently and balance task responsibilities in a customer service setting.
  • Ability to routinely lift and carry boxes and other mail weighing up to 45 pounds.
  • Ability to sit and use computer workstation, including keyboard and visual display terminal, for extended periods.
  • Finger, hand, and wrist dexterity.
  • Effective oral communication.
  • Attention to detail and accuracy.
  • Ability to communicate effectively with diverse, and sometimes irate, individuals and respond calmly and efficiently to situations ranging from routine to urgent.
  • Ability to handle multiple activities or interruptions at once and to work positively and effectively within a team and as self-directed.
